Review Response Generator: Reply Templates for Any Review

Pick the situation — positive, product issue, shipping, sizing or service — and a tone. The generator fills a reply template with your names and support email, ready to edit and post.

Hi Jordan, thanks for the honest feedback — this isn't the experience we want anyone to have with the Linen Crew Tee. We'd love to make it right: reply here or email us at support@example.com and we'll sort out a replacement or refund right away.

Edit before posting — a reply that names the reviewer's actual issue reads as human; a template posted verbatim reads as a template. Never argue, and never share order details publicly.

Runs in your browser. Nothing you enter is stored or sent.

Why replies are worth the time

Review replies are read mostly by future shoppers, not the reviewer. A calm, specific response to a bad review shows how you handle problems — which is often more persuasive than another five-star review. Silence under a one-star review reads as confirmation.

Make the template yours

Before posting, name the reviewer's actual issue in one sentence — that single edit is what separates a human reply from a canned one. Never argue, never blame the customer publicly, and move specifics (order numbers, refund amounts) to email.

Frequently asked questions

Should I respond to every review?

Respond to every negative and neutral review, and to positive reviews when you can say something specific. For high-volume stores, a short thanks on positives is fine — but a negative review left unanswered is the one future shoppers remember.

How do I respond to a negative review professionally?

Acknowledge the specific problem, take responsibility without excuses, state what you're doing about it, and move the resolution to a private channel. Keep it short — three or four sentences. The audience is the next hundred shoppers, not a debate with the reviewer.

Can responding to a review get it removed or changed?

Sometimes. Many customers update or remove a bad review after a genuine fix — a replacement, a refund, an apology that lands. Never make editing the review a condition of the fix; platforms treat that as review manipulation, and it reads that way to shoppers too.

Should I reply to a review I think is fake?

Reply once, calmly, stating you have no record of the order and inviting the reviewer to contact support — that's for the audience. Then report it through the platform's process. Accusing someone of lying in public hurts you even when you're right.
