Refund Request Email Templates for Shopify Stores

A refund request is a moment when a customer decides whether to buy from you again. A clear, fast reply matters more than a clever one. This guide gives you four reply templates and the Shopify refund facts to check before you send them.

Know what Shopify will do before you promise it

Your email should match what actually happens when you issue the refund. According to the Shopify Help Center, you can issue a full or partial refund, and you can refund to the original payment method, to store credit, or both. Shopify also states that you can't cancel or reverse a refund after you initiate it, so confirm the amount before you reply.

Template: refund approved

Use this when the request is within your policy. Say what was refunded and where it went.

Template: return needed before refund

Use this when your policy requires the item back. Give the steps and the condition the item must be in.

Template: partial refund or store credit

Use this when a full refund does not apply, for example an opened item or a late request. Explain the reason in one sentence and offer the alternative.

Template: request declined

Use this sparingly, and only when your published policy clearly supports it. Be specific and leave a door open.

Doing this at scale

Reclaim triages each support ticket by intent, sentiment and urgency, drafts a reply grounded in the real order, tracking and refund history, and escalates out-of-policy refunds to a human. Today it builds its queue from recent orders and does not connect to a helpdesk or inbox. See Reclaim.

Doing this for a whole catalog or every order?
