You open an order to refund it and the Refund button isn't there, the amount field won't go as high as you need, or the original payment method is locked. Each has a specific cause, and most have a workaround. This guide covers what blocks a refund, how to tell which case you're in and what to do instead.
What a blocked refund means
A refund sends money from a captured payment back to the customer. If there is no captured payment left to send back, or you don't have permission to send it, Shopify won't let you refund. Shopify's refund guide says that if there's no payment to refund for an order, you can restock the items without creating a return or refund.
- Needs: A captured payment with money left to refund
- Needs: The right staff permission
- Can't exceed: What is still available to refund
Common causes
These are the cases Shopify documents.
- Permissions: Shopify states you need to be the store owner or have the refund permissions, which are listed separately for refunds to the original payment method and to store credit
- Payment not captured: Shopify's cancellation guide says canceling an order whose payment wasn't captured changes the payment status to Voided, so there's nothing to refund
- Payment pending: Shopify notes that orders with a pending payment status can have actions restricted until the status changes
- Shipping cap: You can't refund more shipping than was charged, and you can't refund shipping when an order-level free shipping discount was applied
- Store credit already issued: After a partial refund to store credit, the original payment method can be limited, and refunding more to it needs the over-refund permission
- Payment method: Shopify states OXXO payments can't be refunded to the original payment method through Shopify Payments
Check which case you're in
Read the order before trying workarounds.
- Payment status: Look at the top of the order for Authorized, Paid, Partially refunded or Payment pending
- Timeline: Check earlier refunds, store credit and any chargeback
- Your account: Ask the store owner which Orders permissions your staff account has
Fix it step by step
- Missing permission: Have the store owner grant the refund permission you need, or ask them to issue it
- Authorized, not captured: Cancel the order instead. The authorization is voided rather than refunded
- Payment pending: Wait for the status to change, then refund or cancel
- Need more than the original method allows: On Shopify Payments orders, over-refunding is available with the Over-refund orders previously refunded to store credit permission. Shopify warns it doesn't reverse store credit already issued, so lower the customer's balance if they shouldn't keep both
- Method can't be refunded: Refund to store credit, or settle another way and record it on the order
Shopify states you can't cancel or reverse a refund once it starts, so confirm the amount first.
Prevent it
- ✅ Decide who can refund, and set a limit, see set a refund limit for your support team
- ✅ Choose between refund and store credit before issuing either
- ✅ Cancel unshipped orders rather than refunding them later
