You issued a refund in Shopify, and the order timeline shows it as failed, or it has said Pending for days. Meanwhile the customer is emailing to ask where their money is. This guide explains what failed and pending refunds mean with Shopify Payments, the causes Shopify lists, how to check each order and what to do next.
Failed vs pending
These two statuses mean different things. Shopify's refund troubleshooting guide says a Shopify Payments refund can show Pending for up to 2 business days, and it might take up to 10 business days for the customer to receive the funds, depending on their bank. A failed refund didn't go through and needs action from you.
| Status | What it means |
|---|---|
| Pending | Still processing, up to 2 business days |
| Failed | Not processed, the money hasn't left |
Why refunds fail
Shopify lists these reasons a refund can fail.
- Amount too high: The refund is more than the original transaction
- Too old: The transaction is outside the refund timeframe for Shopify Payments or the payment provider
- Open dispute: The order has an open chargeback or dispute
- Customer's account: The bank account or payment method can't receive the refund
- Provider error: The payment provider returned an error
- Payment method: OXXO payments can't be refunded to the original payment method through Shopify Payments
Refunds that stay pending can also be held up by your balance. Shopify states that if your Shopify Payments balance is past your negative balance threshold, refunds can stay pending until it's cleared.
Check the order
Every refund leaves a record. Read it before you try again.
- Timeline: Open the order and review the refund event in the Timeline section
- Balance: Check whether your Shopify Payments balance is negative
- Disputes: Look for an open chargeback on the order
- Card refunds that went through: Look for an Acquirer Reference Number (ARN) in the timeline, which the customer can give their bank to trace the refund
Fix it step by step
Match the fix to the reason in the timeline.
- Customer's payment method: Ask the customer to contact their bank or provider, then retry
- Negative balance: Clear it, and Shopify says pending refunds then process in the order they were created
- Can't reach the original method: Shopify suggests resolving it another way, such as store credit, a gift card or another manual method, and noting it in the timeline
- Refunded outside Shopify: Record it on the order and deselect the option to process the payment refund, if shown
- Still stuck: Contact Shopify Support with the order number, amount, payment method, refund status and any error message
Shopify states you can't cancel or reverse a refund after you initiate it, so check the amount before retrying.
Prevent it
- ✅ Refund promptly so transactions stay inside the refund timeframe
- ✅ Keep your Shopify Payments balance positive during busy return periods
- ✅ Tell customers about bank processing time, see refund request email templates
- ❌ Don't issue a second refund while the first is pending
Doing this at scale
Failed refunds turn into follow-up tickets. Reclaim triages each support ticket by intent, sentiment and urgency, drafts a reply grounded in the real order, tracking and refund history, and escalates out-of-policy refunds to a human. Today it builds its queue from recent orders and does not connect to a helpdesk or inbox. See Reclaim.
