How to Write a Shipping Delay Email

Orders run late. Stock is held up, a carrier misses a scan, weather closes a route. Customers forgive a delay far more easily than silence. This guide shows what a shipping delay email needs to say, with a template for each common situation.

Send it before the customer asks

The value of a delay email is that it arrives before the "where is my order" message does. As soon as you know an order will miss the date you gave, tell the customer. Waiting until you have a perfect answer usually means they contact you first.

Four things every delay email needs

Keep the email short. The customer is scanning for a few facts, so put them near the top.

If you promise an update by a certain date, send it on that date, even if the news is the same. For related replies, see where is my order emails and delivered but not received.

Template: delayed before it ships

Use this when the order has not left you yet, for example a stock or production delay.

Template: delayed in transit

Use this when the parcel is with the carrier and tracking has stalled or the delivery date has moved.

Template: no new date yet

Use this when you truly do not know. Promise the next update, not a delivery date.

Doing this at scale

Reclaim triages each support ticket by intent, sentiment and urgency, and drafts a reply grounded in the real order, tracking and refund history. You can run it in shadow, assisted or autonomous mode. Today it builds its queue from recent orders and does not connect to a helpdesk or inbox. See Reclaim.
