How to Prepare for the Post-Holiday Return Surge

Returns from holiday orders tend to arrive together, once gifts have been opened and extended windows are close to ending. If you plan for that period the way you plan for the sale itself, it is a busy few weeks instead of a backlog. This guide covers what to prepare: policy, people, stock handling and the numbers to watch.

Know when your surge will land

Your own dates tell you when to expect the volume. Work forward from your sale period, your delivery times and the return window you promised. If you ran an extended holiday return window, the last day of that window is the date to plan around.

Settle the policy questions now

Slow decisions are what turn volume into a backlog. Write down the answers to the questions your team will be asked most, so nobody has to stop and check.

QuestionDecide in advance
Gift recipient with no order numberWhat proof you accept, see how to handle gift returns
Request a few days lateWhether you allow a grace period
Item bought with a sale discountRefund the price paid, and how exchanges are priced
Opened or missing packagingAccept, refuse or apply a fee

Prepare the workflow in Shopify

Shopify's returns flow lets you create a return, send shipping instructions and issue the refund after inspecting the item. If you have self-serve returns turned on, customers can submit requests from their order status page, and you approve or decline each one according to your policy. When refunding, you can choose the original payment method, store credit, or both.

If you have not set it up yet, see self-serve returns in Shopify.

Plan what happens to the stock

Every returned unit needs a destination, and seasonal items lose value quickly. Agree the grades before the boxes arrive.

Keep customers informed

Customers who have sent an item back want to know where their refund is. Tell them before they ask.

Ready-made wording is in refund request email templates. Record the reason for each return too, since it feeds into reducing your return rate.

Doing this at scale

ReturnSage reads your full return policy plus the order and customer context, then recommends approve, exchange, store credit, deny or escalate, with a confidence score, risk flags, cited policy clauses and a draft reply. You decide with one click, and every decision is logged. See ReturnSage.
