A wholesale buyer emails you a list of what they want. Here's how to turn that request into a Shopify draft order they can pay, without retyping it three times.
Turn the email into line items
Start by turning the email into clean line items. For each line, you need the exact product and variant, and the quantity. Buyers rarely use your SKUs, so this matching step is where most of the time goes.
| The request | Line items |
|---|---|
| need 40 of the sage linen tees in M, and 2 cases of the canvas totes | Linen Crew Tee / Sage / M × 40 · Canvas Tote (case of 12) × 2 |
Price each line
Next, price each line. Check it against your wholesale price list: the volume break it falls into, and your minimum order quantity. If the buyer is just short of the next break, tell them. It's an easy upsell.
- Price list: Your wholesale prices
- Breaks: Which volume tier applies
- MOQ: Is the minimum met?
- Upsell: Close to the next break?
Create the draft order
Now build it in Shopify. Go to Orders, then Drafts, and create an order. Add the customer and the products, and adjust the price on each line to your quoted price.
- Orders → Drafts → Create order
- Add the customer and products
- Set the quoted price on each line
Send the invoice
Then send the invoice from the draft order. The buyer gets an email with a link to check out. When they pay, the draft becomes a regular order, and you fulfill it as usual.
- Send invoice from the draft
- Buyer pays through the checkout link
- Draft becomes an order
Doing this at scale
QuoteWeaver does steps one to three for you. Paste the buyer's request, and it parses the line items, matches each one to a real SKU with a confidence score, prices it against your volume breaks, and builds the Shopify draft order, along with a drafted reply. Low-confidence lines are flagged for you to confirm. See QuoteWeaver.
